How do you calculate hours on a time card?
For each day, subtract the clock in time from the clock out time, then subtract any unpaid lunch. 9:00 to 17:30 with a 30 minute lunch is 8 hours. Add the days together for the weekly total, then convert to decimal hours for payroll: 8 hours 30 minutes is 8.5.
How is overtime calculated on a timecard?
Under the US Fair Labor Standards Act, overtime is based on hours worked in a week, not in a day. Anything over 40 hours in the workweek is paid at 1.5 times the regular rate. Working four ten-hour days is 40 hours and no overtime. A few states, California among them, add a daily rule on top of the weekly one.
Is lunch deducted from a time card?
An unpaid meal break is deducted, and it usually has to be at least 30 minutes and genuinely free of work to count as unpaid. Short rest breaks, typically under 20 minutes, are paid time and should not be deducted.
How do I handle a shift that crosses midnight?
Enter the times normally. When the clock out time is earlier than the clock in time, this calculator treats the shift as crossing midnight, so 22:00 to 06:00 is 8 hours rather than an error.
Decimal hours, because payroll will ask
Payroll systems and invoices almost never accept 7 hours 45 minutes. They want 7.75. The conversion trips people up because minutes are base 60 and the decimal is base 100, so 7:30 is 7.5 rather than 7.3.

The number this cannot give you
A time card records when you were on the clock. It says nothing about what the hours were spent on, and most people filling one in on Friday are reconstructing Tuesday from memory.
That reconstruction is reliably wrong in one direction. In a 2025 randomised trial, experienced developers estimated that AI tooling had made them 20% faster on work they had just done. Measured, they were 19% slower. If a forty point error is possible about your own morning, a weekly timesheet is a guess with a total at the bottom.
